How to get the most value from a virtual assistant

Do you like the idea of taking on a virtual assistant, but you’re not sure where to start? Or are you worried you may not have the time to delegate?

A VA will help to streamline processes and free up your time by taking on the tasks that you or your team are too busy for. We’ve listed 5 top tips for working with a VA that will give you the best value.

  1. Onboarding process

A good VA will be able to quickly hit the ground running, but it’s useful to provide a short induction process, similarly to how you would for an internal employee. Have some time at the beginning to share important details such as your processes and key contacts.

Your VA will also need appropriate information and access, so create a list of login details and make sure your VA has access to any applications, folders, card details, etc. that they might need.

  1. Define your objectives

Clearly define not only how to do a task, but also the overall goal. This will help your VA deliver exactly what you require. Brief them on the following:

  • What problem are you trying to solve?
  • What is the desired result?
  • What do they need to know to complete the task?
  • How should they communicate with you?
  • When does the task need to be completed by?
  1. Communication is key

Clear communication is crucial in getting the most from your VA. Be available to answer quick questions in order to help your VA deliver your tasks quickly and efficiently. But this can still be in a way that works best for you. You might find WhatsApp can be great for quick updates.

  1. Regular catch-ups

Catching up regularly outside of communicating daily tasks are beneficial for both you and your VA. Discussing your goals and most pressing needs will help your assistant understand what to prioritise and flag with you.

It’s also a good opportunity to provide feedback. Let your VA know what is and isn’t working for you. Everyone likes to work differently, and by offering constructive feedback you’re giving them the opportunity to fine tune their working style to fit with you. Therefore, getting the most value from your VA!

  1. Avoid micromanaging

If you follow all of the above steps, an experienced VA will be able to deliver. Do make an effort to avoid micromanaging them. Try to stick with your agreed checkpoints. Changing scope throughout a task or frequently checking up can be distracting and time consuming, resulting in adding unnecessary time onto a task.

By spending a small amount of time delegating to your VA, you can free up lots of time in the long run, allowing you to focus on running your business.
